Real estate lead response time: why speed to lead decides bookings

By the Supermations team · Published · 2 min read

Real estate developers in India spend heavily on Meta, Google and property portals to generate leads, then lose most of them in the first hour. The reason is rarely lead quality. It is response time. This post explains why speed to lead matters so much in property sales and how to answer every enquiry in under a minute without hiring a night shift.

What the numbers say

  • A Harvard Business Review study found firms took an average of 42 hours to respond to a web lead.
  • Developers report that 70 to 80% of raw digital leads drop off before a site visit.
  • At most large developers, lead-to-booking sits around 1 to 1.5%.

Put together, a large share of ad budget pays for leads that were interested for a short window and never heard back while it was open.

Why speed matters more in real estate

A property buyer rarely enquires about one project. They fill three or four forms in an evening, often late at night after scrolling through ads. The first developer to reply with a useful answer sets the frame for the rest: they get the price conversation, the site visit and the follow-up. The others get a buyer who says "already seen something, will let you know".

What a good first reply looks like

Speed alone is not enough. An instant "Thanks, our team will contact you" message changes nothing. A good first reply:

  • Arrives on WhatsApp within seconds, in the buyer's language.
  • Names the project and answers what they asked, including the starting price if your policy allows it.
  • Asks one simple qualifying question, such as configuration or budget.
  • Offers a next step the buyer controls: a brochure, a call slot or a site visit slot.

After the first reply: follow-up that does not annoy

  1. Score every lead hot, warm or cold, with a plain-language reason a salesperson can read in five seconds.
  2. Route hot leads to a person immediately, with the full chat history.
  3. Follow up warm leads with useful information, not "just checking in".
  4. Time follow-ups for the buyer's day. For NRI buyers that means Dubai, London or US hours. Our NRI real estate leads page covers this in detail.
  5. Stop when the buyer says no. Respecting that keeps your WhatsApp number in good standing.

What to measure

Track median first response time across all sources, the share of leads answered in under a minute, the share that reach a qualified conversation, and the share that become verified site visits. If response time drops and visits do not rise, look at the quality of the first reply.
